Monthly Bank Reconciliation Service
Monthly bank, credit card, and loan reconciliation from a licensed Kentucky CPA: missing deposits, duplicate payments, bank errors, and unauthorized charges caught early, with a clean audit trail behind every balance.
Reconciling the bank every month is the single best control a small organization has, and I do it for every client: bank accounts, credit cards, and loans, tied out to the statement, with any difference explained. It catches missing deposits, duplicate payments, bank errors, and charges nobody authorized while they're still easy to fix.
What reconciliation actually catches
A deposit that was counted but never made it to the bank. A vendor paid twice. A subscription nobody remembers signing up for. A bank fee that shouldn't have been charged. A check that cleared for a different amount than it was written for. None of those show up in a report until somebody compares the books to the bank, line by line, and that comparison is the reconciliation.
For churches and nonprofits there's a second benefit. When an outside accountant reconciles the account, the people who handle the money are protected, because every dollar has a second set of eyes on it.
How I do it
Every month, every account. Bank, credit cards, lines of credit, loans. Each one is tied to the statement, every outstanding item is listed, and anything that doesn't belong gets flagged to you in plain language. The reconciliation reports stay in the file, so when an auditor or a lender asks, the trail is there.
Accounts that haven't been reconciled in a while
That's common, and fixable. I go back to the last clean month, work forward, and bring the account current. Expect a short list of questions about old items that never cleared.
What people ask.
If your question isn’t here, call and ask. I’d rather talk it through than have you guess.
Monthly, as soon as the statement is available. Waiting longer makes problems harder to find and harder to fix.
