A QuickBooks file is only as good as the way it was set up. I set up new files with a chart of accounts that fits your church, nonprofit, or business, clean up files that have gone sideways, and move organizations off spreadsheets, desktop software, or other systems. I've worked in QuickBooks, Sage, NetSuite, Microsoft Dynamics, and Paychex, and I've led system conversions for companies with a hundred-plus employees.

Signs your QuickBooks file needs cleanup

The bank balance in QuickBooks doesn't match the bank. There's a big balance sitting in Undeposited Funds. Accounts Receivable shows customers who paid years ago. The chart of accounts has three versions of the same expense. Reports don't make sense, so nobody looks at them. Any one of those means the file has stopped telling the truth, and the fix is a cleanup, not a new file.

What setup and cleanup involve

For a new file: a chart of accounts built for how you actually operate, classes or locations for funds and departments, bank feeds connected, opening balances entered correctly, and users set up with the right access. For a cleanup: duplicate transactions removed, old receivables and payables resolved, every account reconciled, and the chart of accounts simplified so the reports mean something.

For churches and nonprofits, the setup includes fund tracking, so designated and restricted money shows up as its own balance instead of getting lost in the general checking account.

Moving from something else

Coming off spreadsheets, QuickBooks Desktop, or another system, I handle the conversion so history comes across and nothing gets lost. Then I either keep the books for you or train your person and check in monthly.
